Volunteering - Terms and Conditions

  1. All volunteering placements should be made via e-mail or post to Inka Magik who will then respond with the corresponding data.
  2. Once a volunteer has received his/her confirmation for a placement, the allocation for that placement will be valid for a year. After passed that period of time the allocation will no longer be valid and the volunteer will need to reapply.
  3. Once a volunteer has received a placement in any of our projects he/she should confirm his/her participation by email and state the date of his/her planned trip. In case that the volunteer decides to change dates, he/she must notify us within at least 4 weeks.
  4. If the volunteer is unable to travel on the reserved date for reasons beyond their control, they can change the date of the placement. But it is the traveller's own responsibility to rearrange their flights and hotels to get to their final destination (wherever is applicable from each project.) In such a case, Inka Magik should be contacted to reorganise schedules.
  5. In case a volunteer's arrival is delayed due to a problem of international flights, local flights, buses, or any other transport Inka Magik is not responsible for the lost day(s)and can incurr into extra charges during airport collection.
  6. Inka Magik is not responsible for volunteers who cannot travel due documentation problems or administrative, legal, police or judicial problems, or any other personal/legal problems. In such cases the volunteer has to notify Inka Magik about the changing on their personal circumstances in order to assess the continuity of the allocation for volunteering purposes.
  7. The project cost are per person and expressed in British pounds payable in this currency in the UK or its equivalent in American dollars via money transfer.
  8. The cost of the project must be cancelled 8 weeks before departure and any additional cost can only be changed within the local cost of running our projects. For example a rise on local food, utilities, transportation which are subject to fuel increments. However we will notified to the volunteer in advance of any of these cost changes. Cost increases of this nature should not exceed 5% of the total amount proposed by us.
  9. Project schedules may be changed for climate and weather conditions, natural catastrophes, strikes and other conditions. In such a case, Inka Magik will reschedule the running of the project or provide the volunteer with alternatives for another project allocation.
  10. A volunteer who has cancelled his/her amount of the projects cost but decide to cancel his/her participation in our projects before departing to the final destination can choose in changing dates, for up to a year but subject to the conditions on paragraph 6. However, any refund will not given at this stage.
  11. A volunteer who has arrived to the project and decides not to continue participating in our project must state immediately the reasons for declining assisting with his/her work. Inka Magik will then be willing to assist to the volunteer with alternatives for example the allocation of the volunteer to a different project or other feasible alternative. However, any additional costs caused by the project transfer (for example accommodation facilities in private hotels, meals at restaurants, transportation) should be met by the traveller. Should a volunteer turn down reasonable alternatives offered by Inka Magik, and decide not continuing volunteering, Inka Magik will provide a refund of no more than 20% of the total project cost and depending on the initial days spend in the project.
  12. In case of accident, it is responsibility of the volunteer to have valid personal travel insurance for him/herself for immediate medical attention.
  13. The project does not include any type of insurance, except for those that the transportation companies are obliged to provide in case of accident. It is suggested that travellers obtain travel insurance in their home country and ensure they are covering any personal items, as it is the traveller main responsability to look after their own personal belogings. Inka Magk is not responsible for any lost or theft during your staying abroad.
  14. A volunteer who decides to travel in any of our adventures treks or any other trips must ensure he/she has the appropriate insurance to participate in the description of the tour. To enter the jungle region, travellers must have anti-malaria medication and a yellow fever vaccination 15 days before travelling. The itinerary can be modified upon request of the travellers, but they will have to pay for any additional costs.
  15. All advance payments should be made in British currency or American dollars using a bank transfer. Payments will be confirmed by email or post. (Exchange rates have to reach the value of the trip in British pounds.)
  16. Breaking the law could compromise the traveller's position as an Inka Magik volunteer.
